Why use an OKR template?
An OKR template is intended to help document OKRs, publish them within the company and thus make them transparent for every employee to view.
As an alternative to an OKR template, there are corresponding OKR software solutions for creating and managing OKRs. It is not always necessary to invest in software straight away. In many cases, a good OKR template is sufficient – at least at the beginning. The more people in the company use Objectives and Key Results, the more important OKR software becomes – primarily for coordination and transparency.

The OKR template is easy to use and you can also customize the OKR template to your needs.

Step 1: Add general information
- Company/department/team: At what level does the OKR set apply? What is the name of the company, department or team?
- Person responsible: Who has overall responsibility for the OKR set? Experience has shown that a top-level executive is suitable for this.
- Period: For which OKR cycle or period is the OKR set valid?
- OKR PO: which OKR Process Owner, Coach or Master accompanies the team or the OKR set?

Step 3: Enter key results
- Add the corresponding key results – between 2 and 4 key results per objective
- Make sure that these are measurable and therefore contain a metric (number) and that the metric is a lead indicator. Lag indicators (lagging indicators) and vanity indicators (vanity indicators) should be avoided – more on this on the OKR examples page.
- Responsible person: Who is responsible for the individual key result?
Step 4: Coordination with other departments/teams
- Ensure consistent company-wide coordination. Which departments and/or teams can support the team in fulfilling the respective key result?

Step 5: Enter/update score
- How is the target metric currently achieved (0..1)? At the beginning, the score is usually 0.0 (zero).

Step 6: Enter/update the confidence level
- The confidence level indicates in percent how high the confidence is that 70% of the target will be achieved at the end of the OKR cycle (“70% is the new 100%”)
Step 7: 3P’s – Progress, Plan, Problems
- Record progress and problems on the way to your goal, as well as what your next steps are.
Step 8: Learnings
- What have you learned on the way to your goal?

How often do I have to update the OKR template?
Update your OKR template at least once a week for the OKR Weekly. With the Excel template, you can simply copy the worksheet and document your progress week by week – in an Excel file.
For PDF and Word, you can name the files according to the calendar week, e.g. 2021-KW27.pdf or 2021-KW27.docx and thus document the progress week by week.
With the HTML template and Confluence template, you can copy the table on a page one below the other each week – or create a subpage for each week if you want to document the progress from week to week.

When does OKR software make sense?
The more people in the company use OKR, the more important OKR software becomes – primarily for the coordination process, complete transparency and enormous time savings. OKR software is already helpful with 5 to 20 employees, it becomes important with 100 to 200 employees and critical with 1,000 employees or more. Aspects such as data security and protection also play a role, which can only be guaranteed to a limited extent with templates or files.
OKR software is also helpful for the ritualization of meetings – also for the automatic updating of key result metrics via existing IT systems that can be integrated into the OKR software, such as Salesforce, Hubspot, SAP, Atlassian JIRA, HR systems, etc.
